# Record attendance

> Record attendance with manual entry, public check-in, member QR codes, kiosk mode, and attendance reports.

Bethel ChMS records attendance against a specific event occurrence, not only the parent event. This keeps each service, meeting, or activity separate when you review attendance later.

  **Who can do this:** Organisation owners, organisation admins, branch admins, and editors can record individual attendance. **Bulk Entry** is available to organisation owners, organisation admins, and branch admins. Organisation-scoped users can switch branch context where the page supports it.

## Set up public check-in

Public check-in lets members and visitors check themselves in from an event QR code or check-in link.

1. In the sidebar, click **Events**.
2. Create or edit an event.
3. Turn on **Public Check-in**.
4. Choose the **Check-in Window**. The available windows are **30 minutes**, **1 hour**, **2 hours**, **3 hours**, **4 hours**, and **8 hours**.
5. Save the event.

When public check-in is enabled, the event detail page shows **Public Check-in QR**. The card includes the QR code, the **Check-in URL**, **Copy Link**, **Launch Kiosk Mode**, print/download options, and **Regenerate Token**.

  Use **Regenerate Token** only when you need to replace the check-in link. Regenerating the token invalidates existing printed or shared QR codes immediately.

## Share the event QR code

Use the event QR code when you want attendees to check in on their own phones.

1. Open **Events**.
2. Select the event.
3. Find the **Public Check-in QR** card.
4. Click **Copy Link** to share the check-in URL, or use the print/download option to create a printable QR poster.

The public check-in page opens only when public check-in is enabled and an occurrence is inside the event's check-in window.

## Use public check-in

Attendees can use the check-in page without installing an app.

1. The attendee scans the event QR code or opens the shared check-in URL.
2. They enter an identifier, such as an email address or mobile number.
3. If Bethel ChMS finds a member or visitor, the attendee confirms and checks in.
4. If no record is found, the attendee can register as a visitor.
5. If the member belongs to a household, Bethel ChMS can show eligible household members so the attendee can check in others who are present.

Visitor registration captures required name fields and optional contact details. Visitor records then appear in attendance and visitor workflows.

## Use kiosk mode

Kiosk mode opens the public check-in page in a dedicated event mode for a tablet or laptop at your venue.

1. Open the event detail page.
2. In **Public Check-in QR**, click **Launch Kiosk Mode**.
3. Place the device where attendees can use it.

Kiosk mode shows a **Manual**, **Scan QR**, and **Visitor** toggle. Use **Manual** for identifier lookup, **Scan QR** for member or household QR codes, and **Visitor** for new visitor registration.

## Record attendance from an occurrence

Use the occurrence attendance page when a staff member records attendance.

1. In the sidebar, click **Events**.
2. Select the event.
3. In **Occurrences**, click **View Attendance** for the occurrence.

The attendance page shows who has already checked in and the staff actions available for that occurrence.

### Record a member or visitor manually

Manual entry works well when a staff member checks people in at the door or updates attendance during the service.

1. Click **Record Attendance**.
2. Choose **Member** or **Visitor**.
3. Search by name, email, or mobile.
4. Select the person.
5. Click **Check In Member** or **Check In Visitor**.

If the selected member belongs to a household, Bethel ChMS can show household companions before you finish the check-in. You can check in companions or choose **Just this member**.

### Scan a member or household QR code

Use **Scan QR** when members bring their personal or family QR codes.

1. Click **Scan QR**.
2. Allow camera access if the browser asks.
3. Point the camera at the member or household QR code.
4. For a member QR code, Bethel ChMS records the member immediately or shows that they are already checked in.
5. For a household QR code, choose who's here today, then click **Check In**.

  The **Scan QR** button appears only when occurrence QR scanning is enabled for your organisation.

### Use bulk entry

Bulk entry works well when you enter attendance from a paper register after the event.

1. Click **Bulk Entry**.
2. Search by name if needed.
3. Select members, or use **Select All** for the current filtered list.
4. Click **Save**.

Already checked-in members are disabled and labelled **Already checked in**.

## Use member QR codes

Member QR codes identify a member during staff QR scanning or kiosk QR scanning.

Open a member profile and click **QR Code** to display that member's personal QR code. Members can also sign in to the member portal and open **QR Code**. If they belong to a household, the portal shows **My QR** and **Family QR**.

Organisation owners and organisation admins can email member QR codes in bulk from the **Members** page.

1. In the sidebar, click **Members**.
2. Click **Email QR codes**.
3. Choose **Selected members**, **All members**, or **Filter**.
4. If you choose **Filter**, narrow recipients by status, age group, or group.
5. Click **Continue**.
6. Review the preview and click **Send now**.

The preview separates recipients who will receive an email from members skipped because they have no email address or are inside the 1-hour send cool-down.

  The **QR Code** button and QR email tools appear only when member QR codes are enabled for your organisation.

## Review attendance records

Use the **Attendance** sidebar page to review attendance across events and dates.

The **Records** tab shows attendance rows with:

* **Date**
* **Event**
* **Branch**, when you are viewing all branches as an organisation-scoped user
* **Attendee**
* **Type**
* **Capture Method**

Use the date range, **Event** filter, search box, and sortable columns to narrow the list.

You can also review attendance from a member profile. Open the member and select the **Attendance** tab.

## Consolidate attendance patterns

Use **Attendance** > **Member Frequency** to find people who have stopped attending and update them in bulk.

The **Member Frequency** tab shows each member's attendance over the selected date range. It includes **Events Attended**, **Events Absent**, **Missed in a row**, **Attendance Rate**, and **Last Attended**.

1. Open **Attendance**.
2. Select **Member Frequency**.
3. Choose a date range.
4. Choose an **Event** if you want to measure attendance against one event.
5. Use **Missed at least X in a row** to find members with a current absence streak.
6. Sort by **Missed in a row** to bring the longest absence streaks to the top.
7. Select members with the row checkboxes.
8. Click **Set status** or **Set custom field**.

Selections persist while you move through pages. You can select up to 100 members per bulk action. If you change filters while members are selected, Bethel ChMS asks whether to **Keep selection** or **Clear and apply filter**.

## Members and visitors

Both members and visitors appear in attendance records.

* Members keep attendance history on their member profile.
* Visitors update their visit count and last visit date when they check in.
* When you convert a visitor to a member, their attendance history remains available through the linked journey.
