Bethel ChMS gives you several ways to record attendance, so pick the method that suits each gathering, or mix and match across events. Whether you’re checking people in at the door or entering names from a paper sign-in sheet after the fact, every record ties back to a specific event occurrence so you can track trends over time.
Who can do this: Branch Admin and Editor can record and edit attendance. Organisation-level roles (Org Owner, Org Admin) can view attendance across all branches but cannot record or edit it.

Selecting an event occurrence

Attendance is always recorded against a specific occurrence of an event, for example, “Sunday Service, 6 April 2025.” Before you can record attendance, you need to navigate to the right occurrence.
  1. In the sidebar, click Events.
  2. Select the event you want to record attendance for.
  3. Select the specific occurrence date from the list.
From the occurrence page, you’ll see the options for recording attendance described below.

Manual check-in

Manual check-in works well for small gatherings, mid-service recording, or any time you want to mark people present one by one.
  1. On the event occurrence page, click Record Attendance.
  2. In the dialog that opens, search for a member or visitor by name, email, or mobile number.
  3. Select the person and mark them as present.
  4. Repeat for each attendee.

QR code check-in

Each event in Bethel ChMS has its own QR code. Attendees scan it with their phone and check themselves in, no app download required. Here’s how it works from the attendee’s perspective:
  1. The attendee scans the event QR code displayed at your venue.
  2. They enter their email address or mobile number on the check-in page.
  3. Bethel ChMS identifies them as one of three types:
    • Existing member: their name appears for confirmation.
    • Returning visitor: their name appears for confirmation.
    • New visitor: they’re prompted to register with their name and contact details.
  4. They confirm their identity (or complete registration) and they’re checked in.

Print the QR code and display it at your venue entrance so people can check in as they arrive.

Self-service kiosk

Kiosk mode turns a tablet or laptop into a dedicated check-in station at your venue. The screen displays a simplified check-in interface where members can search for their name and visitors can register on the spot. After each check-in, the screen automatically resets so the next person can step up. You can launch kiosk mode from the event’s QR code section.

Admin entry after the event

If your church uses paper sign-in sheets, you can enter attendance in bulk after the service is over.
  1. On the event occurrence page, click Bulk Entry.
  2. Bethel ChMS displays your branch member list with checkboxes.
  3. Tick each person who attended, or use the Select All toggle to mark everyone present.
  4. Click Save to record attendance for all selected members at once.

Viewing attendance

Bethel ChMS gives you three ways to look at attendance data:
  • By event: Open a specific event occurrence to see who attended that service or meeting.
  • By member: Open a member’s profile and select the Attendance tab to see their full attendance history.
  • By date range: Go to Attendance in the sidebar to filter attendance records across events and dates.

Editing attendance

Attendance records can be edited after they’ve been saved, for example, to correct a check-in time. Bethel ChMS logs every edit, including who made the change, so you always have an audit trail.

Members vs visitors

Both members and visitors appear in your attendance records. Here’s what to know:
  • Visitors have a visit count that updates automatically each time they check in.
  • When a visitor becomes a member (conversion), their attendance history carries over, nothing is lost.
This means you can track a person’s journey from their first visit through to becoming a regular member, all in one place.
